Letter from the Owner

Hello Newport Fitness Family! 

We will be re-opening the doors on Monday, June 1st! We are so very excited to see everyone and to get back to working out! We  have not been provided the exact state guidelines just yet, but have begun to make adjustments based on Ohio requirements and will make further adjustments if need be. I have broken this letter into several categories to address all safety guidelines and associated changes, as well as the associated financials of membership holds and credits for the shutdown duration (75 days).  

 

SAFTEY & SOCIAL DISTANCING GUIDLEINES 

Your safety is important to us and we will do all we can to meet guidelines and keep our community safe and comfortable! We will tape off social distancing squares with a minimum of 6' on either side of the square to meet the capacity allowance and follow the distancing requirements. Each square will have all equipment needed for the workout within the square. Appropriate disinfectants will be provided as well to be used at the end of each workout. Each square will be numbered and there will be a corresponding numbered spot on the rig/wall. The Fitcamp and beginner classes will not be using the rig until 6' distancing requirements are no longer needed.

Upon entry, your temperature will be taken by a staff member and you will be required to use hand sanitizer. You will then go directly to an available square and will keep your belongings with you. At the end of each workout, each member will be required to wipe down all equipment used and also the floor if any floor exercises were part of the programming. Your rags will be collected by the trainer at the end of each workout. 

Please plan to arrive at most 5 minutes before class unless needing to change clothes. Please leave immediately following the clean up after the WOD. We ask that only one person wait in line at a time for the restrooms to keep the 6' distance requirement. 

The locker/cubbyhole area will be temporarily closed until we are given further notice that we can reopen this by the state. 

Please note that these guidelines are temporary and we will resume normal practices once it is deemed safe to do so. 

Babysitting & Kids Classes

Babysitting is not allowed to resume until June 15th. We assume there will be capacity limitation guidelines outlined by the state. We will provide more information when this is available. 

Kids classes will be canceled until further notice. Even if they are allowed to resume, we need this time for traditional adult fitcamp classes because of the capacity constraints. We will consider other class times such as weekends or during mid morning classes when the fitcamp room is available. 

PPE Guidelines

The trainers will be required to wear masks at all times and gloves when interacting with members such as taking temps or picking up cleaning rags.  Masks are optional for members. As most of you know, it gets very heated during the summer months especially on the CrossFit side since there is not any AC. If you choose to wear a mask, please listen to your body. If you are having trouble breathing, please remove the mask as we do not want anyone to pass out. 



 

Equipment Rental Return 

Thanks for the equipment rentals! We rented out almost everything we could and this helped bring in some much needed revenue. The equipment must be returned between May 27th and May 30th. Drop Off times are as follows: 

Wednesday, 5/27 - 5PM to 8PM

Thursday, 5/28 - 10AM to 6PM 

Friday, 5/29 - 10AM to 6PM

Saturday, 5/30 - 9AM to 1PM

A staff member wearing a mask will be outside or near the garage with a table for check-in. If you can't find anyone, please text Emily at 859-609-2778. 

We will have disinfectant available for you to disinfect the items upon return. You will be instructed to a numbered square to place the item in. 



 

NEW CLASS TIMES & MANDATORY REGISTRATION & NEW OUTSIDE CLASS ADDITION

Regarding class times, ALL CLASSES will now be 45 minutes. We are doing this to prevent class overlap and give us time to clean/disinfect in between classes. We have changed most of the fitcamp class times to match the CrossFit times. We have also added a new outdoor class called Em's Fitride Outside at peak class times, which will be held on the right side of the Builder's Surplus parking lot if you are facing Builder's Surplus. We will have music playing outside. These classes will be strictly cardio and bodyweight. This class will also be weather pending. We will notify at least one hour before if it will be canceled. This is FREE to all conract, grandfathered, month-to-month and challenge members. However, it will be open to the public as well for a $5 Fee. They can pay ahead of time on our website or pay upon arrival. 

Our logic is that there will be generally 2 to 3 classes to choose from in case any classes fill up. 

I have also included the boxing classes. You can participate in these if you have a dual membership or solo membership with Megan. You will also have the option to drop into her classes but will have to pay her directly the drop in fee of $15. 

Capacity Meeting 6' Distancing Guidelines

  • CrossFit = Up to 15 people 

  • CrossFit/Fitcamp (9:30AM & Noon) = Up to 15 People 

  • Fitcamp & Beginner CrossFit = Up to 7 people (Up to 15 on Weekends)

  • Boxing Bootcamp = Up to 8 people 

  • Em's Fitride Outside = Up to 20 people 

TOTAL PEOPLE PER PEAK CLASS TIME = 42 People 

TOTAL PEOPLE PER NON PEAK CLASS TIME = 22 People 

PRE-REGISTRATION REQUIREMENTS

In order to ensure we can meet the capacity limitations, we will need everyone to register ahead of time. We have set the registration restrictions so that you can only register 7 days ahead of time for classes. You can register for the week of June 1st starting next Monday. If you cancel less than 48 hours prior to the class or no show, your account will be charged $5. We will make exceptions for any proven emergencies. I have always been a strong believer in not limiting class sizes or charging fees. However, I know that this will be necessary now under the current circumstances and will only be temporary. Please know that 100% of any fees we charge will be put towards payroll expenses helping to keep our trainers and front desk staff working. 

 

If you forget to pre-register for class, you may still check-in upon arrival as long as there are spaces available in one of the classes at that time. You may only pre-register for one class or open gym per day. However, if you wish to attend multiple classes per day or one class and one open gym. you can just show up if you see there are still spots available and check in upon arrival for the second class. However, if you show up and there are no open spots in any classes at that time, unfortunately you will have to leave or wait outside for the next class :(

Currently our app only lets you check in the day of class. However, Bryan Dunbar, our app developer and NewCov member, will be working on this prior to our opening date to see if we can mimic the mindbody capabilities for pre-registration. Stay tuned!

Membership Extensions for Contract, Grandfathered and Month-to-Month members
2/17 & 3/9 In Person 6 Week Challenges

Thanks so much for allowing us to continue to run your monthly membership during this shutdown period! Even though there were some bills we could eliminate during this time frame, there were still A LOT of required bills we had to pay and this allowed us to stay afloat and survive! I feel so blessed that the nature of our business has recurring payments. So many businesses had to just take 100% loss of income right up front and I can only imagine the stress they must be under right now.

I feel that it is necessary that I be as transparent as possible regarding the economic effects of this shutdown so that you can better understand our business decisions and requests going forward. 

So here it it goes....by allowing us to run the monthly payments during the shutdown and add the shutdown period to the end of contracts, this allows us to space out 100% loss of income for 10 weeks over a 12 month period rather than hit us all at once. This makes the loss of income manageable, which I am very grateful for. However, this does not negate the fact that we have lost 10 weeks of income, almost an entire quarter. 

I have done everything I can during this shutdown period to secure the PPP loan and other local grants (which we did receive - Thank Goodness!!!). I have delayed payments and deferred payments and spread out payments. I have run the numbers back and forth nearly every day. The loans will certainly help, but they will not even be close to making up what we lost. There is just no way around it, we are going to have to make some cut backs, which will inevitably affect the trainers and front desk staff hours and pay. My first resolution is to take a pay cut for myself, but that still will not be enough. 

We will be contacting each of you over the next several weeks via email and text. We will be adding a 75 day credit to the end of your contracts to make up for the shutdown period. If you are a grandfathered or month-to-month member, your 75 day period will begin based on your last name. We will have exact dates for you on the email and text. If any month-to-month members cancel prior to receiving their credit, we will refund the equivalent of 75 days. 

EXCEPTIONS:

 

1) If you placed your membership on hold during any part of the shutdown, you credit period will vary based on the day of the hold. Your exact credit days added will be communicated to you. 

2) If you do not wish to return on June 1st due to Covid 19 concerns, we will extend your credit further. 

 

NOTE: there will be a donation link that accompanies your emails and texts.  If anyone wishes to donate ANY of their 75 days, simply click on the link, fill out your name and how many days you wish to donate. The contract pricing varies per person based on type, length and discounts received, but on average it's the equivalent to $3.50/day. ALL DONATIONS WILL BE GUARANTEED TO BE PUT TOWARDS STAFFING PAY. 

So if you choose 10 days, then your contract credit will be 65 days rather than 75 days. Hope that makes sense! 

We understand that A LOT of people have struggled financially during these times and we by no means expect any donations. So please do not feel any obligation whatsoever. Even if you have not been affected, we understand that you have paid for a service and we intend to fulfill that service obligation. We will be updating all of the memberships /adding the credit period on Wednesday, May 27th. You have until then to fill out the donation form. If you do not fill out the form, your credit period will be added as stated in the email sent to you. 

Thanks once again to everyone for their continued support, kind messages, financial assistance to other members, participation in our facebook group activities and just being awesome! We will survive this no matter what it takes! Can't wait to see everyone! See you in June!
